*Name: name of the file or category
Use the dropdown on the left hand side of the Name field to select an existing database category (index)
Timetables Introduction
There are three kinds of interactive timetable:
* Calendar timetable. This format displays the days on the horizontal axis and the times on the vertical.
* Shifts timetable. This format is useful if your organisation works in shifts or many activities occur at regular times.
* Booking list. This format displays the booking data on the horizontal axis and the dates/times on the vertical.

500px|none

*Click the timetable of choice and it will open.
:In the example the user has opened the Calendar timetable.
:All three timetables have common functionality and also some specific functionality.

:The common functionality:
*Use the navigation buttons at the top left to go to a next week or next day etc.
*Modify the date at the top left to start viewing the timetable from a given date.
*Use the HTML and PDF buttons to print the overview.

1000px|none

Actions before opening a timetable
The previous sections explain two actions you should take before opening an interative timetable:
* Resource selection: enables you to select, for example, which activities you wish to view.
* Date selection: enables you to select how many days or weeks you wish to view and from which start date.

The next sections provide detailed information on how to determine the information to be displayed in the timetable and how to use the interactive functionality.
:Before opening the interactive timetable you can further fine tune the information you want displayed with the following two menus.
* Select booking items.
:This menu enables you to choose which items of a booking are displayed, for example: the location.
* Filter bookings. This menu enables you determine which types of bookings are displayed, for example: cancelled bookings.

A third menu is only available to planners:
* Manipulate booking. This menu contains a setting that allows conflicts between bookings.
Interactive timetable functionality
In the interactive timetable you can:
* Change the start date using next/previous week/day buttons or start viewing at a specific date.
* Set various booking status values on/off and determine the types of bookings to be displayed (for example cancelled bookings).
* Export the timetable in standard HTML and PDF formats.
* Export the timetable in several more advanced formats such as live feeds for the browser and smartphone.

Advanced export actions
* Export timetable. Here you have a choice of 6 buttons that you can click in order to create a browser link (URL) of this timetable and also to export it to another program in various formats.
Viewing: overview of procedure
Using the Webber you can generate timetables of activities, rooms, providers, consumers, devices and groups.
:

:850px|none
:

In order to generate a timetable you need to select the data, the dates, the information and the format you wish to view.
Once the system has generated the timetable you are able to make digital or paper copies of it.

Data Selection
U can ask to generate a timetable for:

* Activities
* Rooms
* Providers
* Consumers
* Devices
* Groups

In this step select the type of timetable you wish to view.
Do you want the timetable of an employee or several employees, for example, then select "Employee".
This manual provides explanations for the following types of possible timetables: activities, rooms, devices,
employees, consumers and groeps.
Maybe only some of these options are relevant for your organisation and therefore might not be selectable in your version of the Webber.
In the figure the user has chosen to view a timetable of Activities.

Week selection
You can ask for the timetable of one or more weeks.
In the figure the user has chosen to view the timetable of the week of 21-27 March 2022.

Activity information selection
If necessary you can limit the sort of information you get to see in each activity (booking) within the timetable.
In the figure, clicking the 'Select items' button shows a list of these items (such as room or contact person).

Timetable format selection
You can determine the desired format in which you want to view the timetable.
In the figure, clicking the 'Calendar Timetable' will produce an agenda format, 'Booking list' will produce a list format.

Printing the timetable
If desired you can print out the timetable.

Exporting the timetable to Outlook
If desired you can export your personal timetable to the Microsoft Outlook agenda.
In the following chapters you can read about these steps in more detail.

The steps are worked out in detail in the following chapters.
Multiple resource type selection
It may be handy to view different resource types side by side in the same timetable.
Select a resource of one resource type and then a resource of another resource type.
A screen appears with the selections you have made.
In the figure you can see that Activity History Event, in de Activity type selection, is ticked.

:650px|none

In de next figure you can see that Provider Anette, in Provider selection is ticked.
Both selections appear on the right.
:1200px|none

Now click one of the timetable rendering buttons such as Calendar timetable to view both resources side by side.
In this example the Calendar timetable is to displayed with the menu option: 'apply grouping'.
:500px|none

You therefore see the timetable of Activity History Event in one column and that of Provider Anette in a seperate column.

:450px|none

If the Calendar timetable menu option: 'apply grouping' is not selected then both bookings appear in the same column.

:350px|none

LightbulbMultiple resource type selection can be applied for all resource types and all the timetable views.
Introduction
Foreword
This is de newest manual of the Iris-Planning WebView User Manual release 10.0 in production sinds 28-3-2019.
This manual is part of the Iris-Planning suite documentation.

This manual is written for users of the Webber timetabling program.
WebView is the part of the Webber that enables viewing of the timetables.
The intention is that after you read this manual you should be able to view the timetables to wish to see and that you are familiar with the diversity of ways in which you can view them.

This manual complements WebPlanboard Users Manual which explains how to directly make bookings in de Webber.
For administrators the Webber Administrators Manual module is also available.

The manuals are constantly evolving so as to remain consistent with the new and updated modules of the IRIS-Planning Suite.
This manual also maintains a list of the latest modifications so that you can stay up-dated about which developments and modifications have been made to the IRIS-Planning suite.
Go to Software-updates for this list.

Since many changes are continuously being made in the manuals it is possible that you might come across incorrect or out-dated information.
If so please help us to improve the manuals by sending a mail to [mailto:marketing@bitbybit-is.nl marketing@bitbybit-is.nl].
Finally we hope that this manaul helps you to find your way around the application so that you can easily access the various timetables you desire to view.

lightbulb do Ctrl-F and type in your search term or click on a Category to look for an item in the index page (Previous).
Group selection
Introduction
To view a timetable you must let the system know which groups you wish to see in this timetable.
First select one or several groups of choice and then click one of the timetable display buttons, for example: 'Calendar Timetable', which then renders and opens the timetable.
Here follows an explanation on the various ways of selecting groups.

Lightbulb You can combine different kinds of items in the same timetable.
:For example: you want the timetable of a group and a room.
:First you select the group, then you click the Room tab, select the room and finally click the display button to open the timetable.

Steps
#Click the 'My selection' tab and then the Group tab.
#:A list of groups appears below.
#:

#:350px|none
#:

#Tick the boxes to select the groups you want to see in the timetable.
#:

#:750px|none
#:

#:

Select all
Tick the box at the top left to select all the groups at once.

:800px|none

Deselect all
Untick the box at the top left to deslect all the groups at once.

:800px|none

Remove Groups from the selection
First tick the boxes of groups you wish to remove and then click the 'Remove selected Group from list' button.
For example: in the figure the user wishes to remove BUS.B and MKE1 from the selection.

:650px|none

In the figure the groups BUS.B and MKE1 are no longer visible in the selection.

:650px|none

Lightbulb If you removed a group by mistake you can recover it by using the 'Expand selection: Group' button.

Quickly select multiple groups
#Place the mouse on the box of first group you wish to tick.
#Keep the left mouse button pressed.
#Drag the mouse down to the box of the last group you wish to tick.
#:You see the boxes of groups you selected are ticked.
#When you release the mouse button the boxes remain ticked.

Expand selection
Click the 'Expand selection: Group' button to get to the 'Expand selection', Group tab. You can now add groups to the selection.

See explanation in Expand group selection.

:400px|none

Sorting buttons
If the groups list is very long it becomes more difficult to find a particular group.
Labels such as 'Group name' and 'Group size' function as sorting buttons that enable you to sort in alphanumeric order.
In the figure the user has clicked the 'Group size' label and the groups are in alphanumeric order of group types, from 4 to 560.
The small triangle is facing up.

:800px|none

:Lightbulb Click the 'Group types' label once more in order to sort the groups in reverse alphanumeric order of device types, from 560 to 4.
::The small triangle is facing down.

:800px|none

Filter buttons
If the list of groups is very long even the sorting buttons might not help you to find particular groups.
Click the filter button at the top left or the second row from the top of a specific column (see green arrows in figure) in order to open a form in which you can filter explicitly.
In the figure the user has clicked the filter button of the 'Group size' column and has entered a filter request in the form: The column 'Group size', with search condition is and value 50, in order to find all groups with size 50 participants.

:850px|none

Click the Filter button in the form for the system to execute the filter request.
In the figure the system answers: '2 of 34 items are shown' and now only displays groups of size 50 participants.

:850px|none

Click the Clear button in the form to begin a new filter.
Click the Cancel button in the form to undo a filter.
Lightbulb Besides filter condition is you can also filter with: contains, 'starts with', 'ends with', 'does not contain', 'is not', 'does not start with', 'does not end with' and 'is empty'.

Lightbulb If the form is no longer open you can click the 'Clear filter' at the top left to undo the filter request.

Lightbulb If you use the filter icon at the top left then it will filter for matches in all columns.

Be sure to click the 'Clear filter' button when no longer needed otherwise your timetable might be missing items.
900px|none
De 'Filter bookings' menu contains the following options:
*Show unscheduled bookings
*Show scheduled normal bookings
*Show scheduled availability bookings
*Show cancelled bookings
*Show ignored bookings
*Only show conflicting bookings
*Only show my bookings
*Only Show recently modified bookings
These are explained in more detail further on.

"Filter bookings" menu
#Click the "Filter bookings" menu and a menu appears.
#Tick the boxes of items you wish to select.
#:In the figure the user has selected unscheduled, scheduled normal, cancelled and ignored bookings.
#:

#:250px|none
#:

#Open an interactive timetable.
#:After opening the timetable you see the bookings filtered with the criteria you previously selected.
#:In the example you can see a Bookinglist timetable.
#:

#:1000px|none
#:

#:In the Status column you see 3 scheduled bookings, 1 unscheduled booking, 1 cancelled booking and 1 ignored booking.
#:In the (filter) Options column you see 1 green circle (one scheduled booking without conflict), 2 red circles (scheduled bookings with conflicts), 1 black circle (cancelled booking) and 1 (white circle) ignored booking.
lightbulb Tick the Status and 'Show status icon' in the 'Select items' menu to display these items.

lightbulb You can also use the alternative 'Filter bookings' menu in the open timetable.
:Click the "More options" at the top right of the timetable and you see the 'Filter bookings' menu.
:In the figure the user has ticked 'Show unscheduled bookings' and 'Show scheduled normal bookings' directly in the Booking list.

:1000px|none

:The above possibilities also apply to the Calendar and Shifts timetables.

Show unscheduled bookings
:These are potential bookings that are registered in the system but are not yet scheduled.
:An unscheduled booking plays no role in the timetable but can displayed alongside other types of bookings.
:An unscheduled booking has an orange circular orange.
::10px|none
:All possible occurances of an unscheduled booking with freedom get displayed, see some examples in the tip below.

Show scheduled normal bookings
:These are standaard bookings.
A Normal scheduled booking has a green circular icon:
::10px|none

Show scheduled availability bookings
:A scheduled availability booking is intended to introduce constraints in the timetable.
:For example a scheduled availability booking of room Laboratory-A from between 09:00 and 13:00 from 14-04-2022 to 16-04-2022 implies that this room should not be scheduled in the given time and day intervals.
:An availability booking has a purple circular:
::10px|none

Show cancelled bookings
:A cancelled booking plays no role in the timetable but can be displayed alongside other types of bookings.
:A cancelled booking has a black circular icon:
::10px|none

Show ignored bookings
:An ignored booking no longer plays a role in the timetable but can be displayed alongside other types of bookings.
:An ignored booking has a grey circular icon:
::10px|none

Only show conflicting bookings
:Tick this to generate a timetable that only displays bookings with conflicts.
:In the figure you see that checkbox 'Only show conflicting bookings' in 'Filter bookings' of 'More options' in Calendar timetable is ticked.
:Conflicting bookings appear with an icon in the shape of a red circle.
::10px|none
:The example shows two conflicting bookings.

:350px|none

:lightbulb The option 'Show normal scheduled bookings' displays all scheduled bookings including conflicting ones.

Only show my bookings
: The system registers which person made a specific booking.
: When 'Only show my bookings' is ticked, only the bookings you made are visible.
lightbulb You set a booking to 'Ignored' if you don't want it to play an active role in the timetable.

lightbulb Not ignored booking series with freedom in week or days:
*A booking series of 3 calendar weeks and number of weeks: 2 shows an occurance in all 3 weeks.
*A booking series of 2 days and number of days: 1 shows an occurance in both days.
*A booking of 2 start hours and number of hours 1: only 1 occurance is shown. This occurance starts on the earliest of the 2 occurances.
You might not see a 'Filter bookings' button or some of the filter options might be missing.
This depends on the configuration set up for your organisation.

lightbulb The slight difference between a cancelled and ignored booking is that a cancelled booking is usually not to be rescheduled but an ignored booking indicates it might be rescheduled at a later date.

Only show recently modified bookings
:Tick this item to see only recently modified bookings in the timetable.
:A recently modified booking has a yellow triangular icon.
: In the figure only recently modified bookings are displayed.
lightbulb In order to see the icon tick the 'Show modified booking icon' box in the 'Select items' menu.

lightbulb You can also choose which types of recently modified bookings to view, for example, in the figure below the types are unscheduled (1 booking), 'scheduled normal' (1 booking) and 'scheduled availability' (no bookings).

Expand (resource) selection
Introduction
The first step in viewing a timetable is to make a selection of the resources you wish to view. See Resource selection introduction.

If certain resources are missing in the selection list then you can use the Expand selection function to add them.
You can expand the selection of the following resource types:

*Activities
*Rooms
*Devices
*Providers
*Consumers
*Groups

Steps
#Click the tab of the resource type corresponding to the resource you wish to add to the list.
#Navigate to the resources you wish to add (on the left).
#Tick the resources you wish to add (on the right).
#Click the 'Save to basket' button. This adds your selected resources to the resource list. The system springs to the "My Selection" tab and subtab of the corresponding resource type.

The figure shows the user is expanding the Activity selection with Activity type A004.

lightbulb If your organisation has decided that certain resource types are not relevant then these will not be visible.

Expand selection is explained per resource type in the next sections.
Timetable Expand (resource) selection
Introduction
The first step in viewing a timetable is to make a selection of the resources you wish to view. See Resource selection introduction.

If certain resources are missing in the selection list then you can use the Expand selection function to add them.
You can expand the selection of the following resources types:

*Activities
*Rooms
*Devices
*Providers
*Consumers
*Groups

Steps
#Click the tab of the resource type corresponding to the resource you wish to add to the list.
#Tick the resources you wish to add.
#Click the 'Save to basket' button. This adds your selected resources to the resource list. The system springs to the "My Selection" tab and subtab of the corresponding resource type.

lightbulb If your organisation has decided that certain resource types are not relevant then these will not be visible.

Expand selection is explained per resource type further on.

Device selection
Introduction
To view a timetable you must let the system know which devices you wish to see in this timetable.
First select one or several devices of choice and then click one of the timetable display buttons, for example: 'Calendar Timetable', which then renders and opens the timetable.
Here follows an explanation on the various ways of selecting devices.

Lightbulb You can combine different kinds of items in the same timetable.
:For example: you want the timetable of a device and a room.
:First you select the device, then you click the Room tab, select the room and finally click the display button to open the timetable.

Steps
#Click the 'My selection' tab and then the Device tab.
#:A list of devices appears below.
#:

#:350px|none
#:

#Tick the boxes to select the devices you want to see in the timetable.
#:

#:750px|none
#:

#:

Select all
Tick the box at the top left to select all the devices at once.

:800px|none

Deselect all
Untick the box at the top left to deslect all the devices at once.

:800px|none

Remove Devices from the selection
First tick the boxes of devices you wish to remove and then click the 'Remove selected Device from list' button.
For example: in the figure the user wishes to remove Beamer-2 and Printer-1 from the selection.

:650px|none

In the figure the devices Beamer-2 and Printer-1 are no longer visible in the selection.

:800px|none

Lightbulb If you removed a device by mistake you can recover it by using the 'Expand selection: Device' button.

Quickly select multiple devices
#Place the mouse on the box of first device you wish to tick.
#Keep the left mouse button pressed.
#Drag the mouse down to the box of the last device you wish to tick.
#:You see the boxes of devices you selected are ticked.
#When you release the mouse button the boxes remain ticked.

Expand selection
Click the 'Expand selection: Device' button to get to the 'Expand selection', Device tab. You can now add devices to the selection.

See explanation in Expand device selection.

:450px|none

Sorting buttons
If the devices list is very long it becomes more difficult to find a particular device.
Labels such as 'Device name' and 'Device types' function as sorting buttons that enable you to sort in alphanumeric order.
In the figure the user has clicked the 'Device types' label and the devices are in alphanumeric order of device types, from a to z.
The small triangle is facing up.

:800px|none

:Lightbulb Click the 'Device types' label once more in order to sort the devices in reverse alphanumeric order of device types, from z to a.
::The small triangle is facing down.

:800px|none

Filter buttons
If the list of devices is very long even the sorting buttons might not help you to find particular devices.
Click the filter button at the top left or the second row from the top of a specific column (see green arrows in figure) in order to open a form in which you can filter explicitly.
In the figure the user has clicked the filter button of the 'Device types' column and has entered a filter request in the form: The column 'Device types', with search condition contains and value Whiteboard, in order to find all devices with Whiteboard in the name of the Device types.

:750px|none

Click the Filter button in the form for the system to execute the filter request.
In the figure the system answers: '2 of 19 items are shown' and now only displays devices with Whiteboard Device types.

:850px|none

Timetable Date selection
Introduction
After having selected the resources you now need to select the days or weeks you wish to view in the timetable.
You can do this in various ways: Date selection, Week selection and Work weeks.

350px|none

The next sections provide an explanation on these options.
lightbulb It is possible that an option is irrelevant for your organisation (Workweek for example) and therefore it might not be available in your Webber configuration.

Date
The figure shows the dates of the timetable are from 11/04/2022 til 17/04/2022.

120px|none

# Click the menu on the right side of the second date (17/04/2022). A calendar appears showing the days of a month.
# Click an arrow or a date
#:Click the left arrow at the top to select the previous month.
#:*Click the right arrow at the top to select the next month.
#:*Click the middle arrow at the top to get a list of the months.
#:*Click the year (2021) at the bottom left to select the previous year.
#:*Click the year (2023) at the bottom right to select the next year.
#:*Click any day to select its date.

200px|none

*Suppose you wish to view the timetable til 24/04/2022.
* Click day 24.
* The calendar dissapears and the second date is now 24/04/2022.

120px|none

You can also select which days of the week you will see in the timetable. For example Tuesday and Wednesday.

LightbulbClick the date-field to type in the date directly. You must comply with format used (dayNumber/monthNumber/yearNumber).
LightbulbSelecting a start date that succeeds the end date will automatically switch the end date too, keeping the original interval.
LightbulbSelecting an end date that preceeds the start date will automatically switch the start date too, keeping the original interval.
Weeks
The calendar week shown in the figure is number 14 (which starts on 04/04/2022 and ends on 10/04/2022).

200px|none

Suppose you wish view the timetable of week 15 too.
#Click the lower Weeknumber menu on its right.
#:A list of weeks appears.
#Click the week (15).

70px|none

The week list disappears and week 15 appears in the lower Weeknumber. Week 17 ends on 17/04/2022.

200px|none

LightbulbClick the Weeknumber field to type in the week number directly.
LightbulbSelecting a start week that succeeds the end week will automatically switch the end week too.
LightbulbSelecting an end week that preceeds the start week will automatically switch the start week too.
Work weeks
A work week belongs to a work calendar defined by your organisation, in which case the start of the year is shifted a number of weeks with regard to the calendar year.
For example work week 1 of a school year might start on 30/08/2021.
In the figure the work week is 21.1.31 which corresponds to calendar week 14 starting on 04/04/2021.
21.1.31 is short for work year 31, work period 1 and work week 31.

350px|none

Suppose you also want to see the timetable of the following week.
# Click the lower Workweek menu on its right.
Create an account
If you regularly use the Webber then it is handy to have an account, because among others, when you log in the Webber remembers your selections.
You need an account in order to log in. This account is the same as the account you might possibly have for other Webber operations.
If the planning department does not provide you with an account you can create one yourself.

You can also view timetables without logging in. Then you should see User: Anonymous appearing on your screen.
Follow the procedure below to create an account:

#Click the “Create new account” button.
#:300px|none
Consumer selection
Introduction
To view a timetable you must let the system know which consumers you wish to see in this timetable.
First select one or several consumers of choice and then click one of the timetable display buttons, for example: 'Calendar Timetable', which then renders and opens the timetable.
Here follows an explanation on the various ways of selecting consumers.

Lightbulb You can combine different kinds of items in the same timetable.
:For example: you want the timetable of a consumer and a room.
:First you select the consumer, then you click the Room tab, select the room and finally click the display button to open the timetable.

Steps
#Click the 'My selection' tab and then the Consumer tab.
#:A list of consumers appears below.
#:

#:300px|none
#:

#Tick the boxes to select the consumers you want to see in the timetable.
#:

#:600px|none
#:

#:

Select all
Tick the box at the top left to select all the consumers at once.

:600px|none

Deselect all
Untick the box at the top left to deslect all the consumers at once.

:550px|none

Remove Consumers from the selection
First tick the boxes of consumers you wish to remove and then click the 'Remove selected Consumer from list' button.
For example: in the figure the user wishes to remove David and Nigel from the selection.

:750px|none

In the figure the consumers David and Nigel are no longer visible in the selection.

:650px|none

Lightbulb If you removed a consumer by mistake you can recover it by using the 'Expand selection: Consumer' button.

Quickly select multiple consumers
#Place the mouse on the box of first consumer you wish to tick.
#Keep the left mouse button pressed.
#Drag the mouse down to the box of the last consumer you wish to tick.
#:You see the boxes of consumers you selected are ticked.
#When you release the mouse button the boxes remain ticked.

Expand selection
Click the 'Expand selection: Consumer' button to get to the 'Expand selection', Consumer tab. You can now add consumers to the selection.

See explanation in Expand consumer selection.

:550px|none

Sorting buttons
If the consumers list is very long it becomes more difficult to find a particular consumer.
Labels such as 'Consumer code' and 'Consumer types' function as sorting buttons that enable you to sort in alphanumeric order.
In the figure the user has clicked the 'Consumer types' label and the consumers are in alphanumeric order of consumer types, from a to z.
The small triangle is facing up.

Filter buttons
If the list of consumers is very long even the sorting buttons might not help you to find particular consumers.
Click the filter button at the top left or the second row from the top of a specific column (see green arrows in figure) in order to open a form in which you can filter explicitly.
In the figure the user has clicked the filter button of the 'Consumer types' column and has entered a filter request in the form: The column 'Consumer types', with search condition contains and value IG, in order to find all consumers with IG in the name of the Consumer types.

:750px|none

Click the Filter button in the form for the system to execute the filter request.
In the figure the system answers: '2 of 10 items are shown' and now only displays consumers with IG Consumer types.

Click the Clear button in the form to begin a new filter.
Click the Cancel button in the form to undo a filter.
Lightbulb Besides filter condition contains you can also filter with: is, 'starts with', 'ends with', 'does not contain', 'is not', 'does not start with', 'does not end with' and 'is empty'.
