Interactive Timetables: Calendar, Shift and Bookinglist

Booking list

See Timetables for explanation on general functionality that is shared by the calendar, shift and bookinglist timetables.

Preparation

Before opening the timetable determine what should be displayed.

  1. Select the the weeks/days, the items in the booking and the kind of booking.
    See:

  2. Select the 'My selection' tab and a resource sub tab.
    For example in the figure the sub tab Activities is selected.
  3. Tick the resources you wish to view, the activities Laboratory-A, Laboratory-B, and LBR selected.

  4. Click the Booking list button and the Booking list opens.
    In the timetable you see the booked activities you selected on the selected days.
    In the figure you see a list of bookings, the first is activity 'Basic Entrepeneurship Law' on Monday 27-06-2022 starting at 12:30.

Interactive functionality

In the interactive timetable you can:

  • Change the start date using next/previous week/day buttons or start viewing at a specific date.

  • Set various booking status values on/off and determine the types of bookings to be displayed (for example cancelled bookings).

  • Export the timetable in standard HTML and PDF formats.

  • Export the timetable in several more advanced formats such as live feeds for the browser and smartphone.

Timetable of multiple kinds of resources

You can view multiple resource types in the Calendar timetable.
You can do this by ticking the resources in the various subtab resource types of the 'My selection' tab.
In the figure the activity Account Management and room K101 are selected.

More options menu

The 'More options' button opens a screen with 5 menus.

  • Select items: to select the items you want to have in a booking. See Select booking items
  • Manipulate booking (only relevant for planners). See Manipulate booking
  • Filter bookings: to select which kind of bookings you wish to see in the timetable. See Filter bookings
  • Export overview: to export the timetable by creating feeds and timetable links. See Export overview
  • Grouping: to double sort resource items in two columns. See Nested sorting.

Use the 'Hide options' button to hide the 'More options' menus.

Only show the first unscheduled booking in a series

The Booking list filter "Show unscheduled bookings" has the option "Only show the first unscheduled booking in a series".

  • Check this option when you only want to see the first event of a not-scheduled series booking.
  • Check this option when you only want to see the first event of a not-scheduled booking with freedom of choice (for example monday or tuesday).

Register and unregister

You can register for certain bookings.
Warning Tip: To see whether you can register for a booking place the mouse cursor on the booking.
If it is possible to register for the booking and there there still are vacant places, a balloon appears with the text 'Register me'.
You can unregister by placing the mouse on the booking again. A balloon appears with the text 'Unregister me'.
The figure shows the 'Register me' appears at the booking 'Account Management'.

Sorting

The list of bookings might be very long making it difficult for you to find a particular booking.
The labels work as sorting buttons enabling you to put the list in alphabetical or date order.
In order to sort click the label at the top.

  1. In the figure above you see that the Date label shows an arrow pointing up. This implies that the rows are sorted top-down.
  2. Click the Date label once more and the arrow points down. This implies that the rows are sorted bottom-up.

De figure below shows that the activities are ordered top-down: from 18-11-2022 to 09-11-2022.

Nested sorting

In More options (top right) at the bottom you have the menu Grouping, when you click it you see the option 'Nested sorting'
When 'Nested sorting' is checked you can sort on 2 columns simultaneously.
You will get a primary sorting on the first selected column and a secondary sorting on the second selected column.
Click at the top on the arrow on the right hand side of the first column and then do the same for the second column. When you hover over the column with the mouse The numbers 1 en 2 appear in order to show which is the primary and which is the secondary column.
In the example the first column is Activity and the second column is Date.

Filter rows

Use the filter to temporarily remove rows. For example: you only want to see room K101.

  1. Click the filter button and the Filter form pops up.
  2. You can select the type of item you want to filter, for example "Rooms".
  3. Alternatively, you can click the filter row of the column you wish to filter.
  4. You can enter the filter condition, for example "contains".
  5. You can enter a particular item value, for example "K101".
  6. Click the "Filter" button.

In the figure below you now only see bookings with room K101.

Warning Tip: Click "clear filter" next to the "Filter" button to undo the filtering.

Total duration

In the Booking List you can get a calculation of the total duration of all the bookings that appear in the timetable.
Manual page Select booking items explains how you can configure the kind of data you wish you see in you timetable.

  • Check the item 'Duration' in the 'Select items' menu of 'My Selection' in order to make the 'Duration' field visible in the booking list.
    In the figure you can see the column 'Duration' on the right hand side and the field 'Duration' at the bottom of the booking list with value "00:00".

  • Tick on the boxes on the left of the bookings you wish to see taken into account in the duration calculation.
    In the 'Duration' field at the bottom of the booking list the total duration value of all the ticked bookings appears.
    In de figure the first 3 bookings are ticked and the total duration is 06:00 (6 hours and 0 minutes).
