Calendar timetable
Preparation
Before opening the Calendar timetable make sure the settings are correct.
- Select the 'Mijn selection' tab and a resource sub tab.
- For example in the figure the sub tab Activities is selected.
- Tick the resources you wish to view, for example the activity Overleg.
- Set the Dates.
- Set the days.
- Set the weeks.
- Set the select booking items.
- Set the Filter bookings.
- Click the Calendar timetable button and the Calendar timetable opens.

- In the timetable you see the booked activities you selected on the selected days. In the figure you see the booking "Overleg over het lot van de Ring" is in location Rivendel on monday.

Tip: If you can't see all the information of a booking, the place the mouse indicator on the booking. A pop then appears with the booking information.
Menu option: Apply grouping
You can tick the menu option 'apply groeping' to group the timetables in separate columns.

- In the timetable you see the booked activities you selected hebt on the selected days. In de figure you see the timetable of one resource per columnn.
Tip: You can also apply the grouping when the timetable is open. Click the Menu options on the top right and in the submenu 'Apply grouping' you see the 'Apply grouping' button.
Previous week, Next week and Current week
- Click the left button to view previous week, the right button to view next week and middle button to view current week.

Tip: If the timetable is very large it might take some time before it appears.
Previous day, Next day and Current day
- Click the left button to go back one day, the right button to go forward one and the middle button to shift to current day.

Tip: It the timetable is large is might take some time to switch to the new dates.
Switch to another date
You can switch the timetable to an explicit date using the date field at the top.
- Enter a new date in the date field to directly switch to another date and then press enter.
- use the same format as you see in the date field.
- Alternatively, click the menu on the right to open a calendar where you can select your date.
Refresh
- Click the refresh button at the top left to refresh the timetable overview.
- The timetable is reproduced by the backend system.
- This is useful if changes to the timetable occured since you opened the overview.

Register and unregister
- You can register for certain bookings.
Tip: To see whether you can register for a booking place the mouse cursor on the booking.- If it is possible to register for the booking and there there still are vacant places, a balloon appears with the text 'Register me'.
- You can unregister by placing the mouse on the booking again. A balloon appears with the text 'unregister me'.
- The figure shows the 'register me' appears just above the booking 'Bezoek'.

Timetable of multiple kinds of resources
You can view multiple resource types in the Calendar timetable. In the figure the Activity Overleg en de Medewerker Frodo are selected.

Tip: You can do this by ticking the resources in the various subtab resource types of the My selection tab.
HTML printout
You can generate the timetable in an HTML format and then can print or save it.
- Click the "HTML" button to generate it.
- The browser opens a standard window where you can see and print the timetable.
Tip: Exaclty how this happens depends on the kind of browser you are using and its settings on your computer.
Tip: The HTML timetable shows all the items entered by you in the booking item selection.
If you require a shorter printout the try to reduce the number booking items.
Tip: For a higher print quality try the PDF format button.
PDF printout
You can view a timetable in PDF format and then print or save it.
- Click the PDF button to generate the timetable.
- The browser opens a window where you can view, print and save the timetable.
Tip: The way this is done depends on the kind of browser you are using and its settings on your computer.
More options
De 'More options' button opens a screen with 4 menus.

- Select items: to select the items you want to have in a booking.
- Filter bookings: to select which kind of bookings you wish to see in the timetable.
- Export overview: to export the timetable by creating feeds and timetable links.
- Grouping: to group resource items in separate columns.

Use the 'Hide options' button to hide the 'More options' menus.
Select items
In Select booking items you have an explantation on how you can select the booking items you wish to seen in the timetable prior to opening it.
You can also select some of these options directly in the timetable directly in the 'Select items' menu.
At the top right of the figure you seen the booking items. Tick the checkboxes of the items to wish to see.

Special timetable options
- Most booking item options are clear but there are some exceptions.
- See explanation in Special timetable options.
Conflict codes
- If a scheduled booking conflicts with other bookings then this item shows the type of conflict and the number of conflicts of that type.
- Example: "RRRFF" implies that the booking has 3 room conflicts and 2 function (provider/consumer) conflicts.
Tip: This item is normally only displayed to users with booking permission.- Further explanation in Conflict codes.
Icon status en kind of booking
- A status icon appears at the top right of the booking.
- This icon is circular and the color denotes the booking status.
- green - status: scheduled, type: normal booking
- black - status: cancelled, sort: normal or unavailable
- light grey - status: ignored, sort: normal or unavailable
- purple - status scheduled, sort: unavailable
- red - status scheduled, sort: normal or unavailable, conflicting in: room or provider/consumer or apparatus or group or vacation
Tip: place the mouse on the icon and a tooltip appears.- Further explanation in Status and booking type icon.
Modified booking icon
- A modified booking icon appears at the top right of the booking.
- This icon is a yellow triangle.
Tip: place the mouse on the icon and a tooltip appears with the text: "Recently modified"- Further explanation in Modified booking icon.
Manipulate bookings
This menu contains a setting to allow conflicts between bookings.
Tip: Only applicable for users with planning permissions.
Filter bookings
U kunt instellen welke soort boekingen u wilt zien in uw roosterweergave.
Meer uitleg vindt u in Filter bookings.
In the figure at the top right the checkbox filters 'Show scheduled normal bookings' and 'Show cancelled bookings'are ticked.
So in this case both scheduled normal bookings and cancelled booking will be displayed.

Export timetable
U kunt onderstaande 4 knoppen gebruiken om een link naar het overzicht of het overzicht zelf exporteren naar een programma in diverse formaten:
- Maak overzicht link: een link naar deze kalenderoverzicht maken.
- Maak app link: een link bedoeld voor een smartphone app.
- Maak iCal link: een link of export in iCal-formaat, bijvoorbeeld voor Outlook of Google Calendar.
- Download iCal: een export in iCAl-formaat, bijvoorbeeld voor Outlook of Google Calendar.
- Maak XML link: een link in XML formaat bedoeld voor import in een andere applicatie.

Group resources
In Menu option: Apply grouping explains how to view the timetable of each resource item in a separate column, prior to opening the timetable.
You can also this directly in the timetable using the 'Apply Grouping' button.
Use the 'Deactivate grouping' button to view all resource items in the same column.

Tip: You can also generate a timetable with some of the resource each in separate columns and the rest share the same column.
Apply grouping
To view each resource in a separate column:
- Click the 'More options' menu button. A window appears where you can see the 'Apply Grouping' button in the Grouping menu.
- Click the 'Apply grouping' button.
The resources should now appear in separate columns.
The figure shows the timetable of Bilbo in the first column.
Deactivate grouping
To view all the resources in the same column:
- Click the More options menu button and open the Grouping menu.
- Click the 'Deactivate group' button.
Order Group resources
U kunt de middelen op een gewenste volgorde groeperen.
- In het Gegroepeeerde middelen venster selecteert u een middel en sleept u deze voor of na een ander middel.
- In de figuur is Gandalf nu bovenaan in het Gegroepeerde middelen venster.
- In de figuur is Gandalf nu bovenaan in het Gegroepeerde middelen venster.
- Klik op de knop Pas groepering toe.
In de figuur ziet u dat in het overzicht Gandalf nu in de eerste kolom verschijnt en Bilbo pas in de tweede.
Group specific resources
Stel dat u een deel van de middelen in aparte kolommen wilt zien en de rest in dezelfde kolom.
- Sleep de middelen die dezelfde kolom delen van het venster Gegroepeerde middelen bovenaan naar het venster Ongegroepeerde middelen onderaan.
- In de figuur zijn de middelen Gandalf en Tom naar beneden gesleept.
- Klik op de knop Pas groepering toe.
In de figuur ziet u dat in het overzicht Gandalf en Tom in de kolom Ongegroepeerde middelen verschijnen.
Tip: Als u alleen de roosters van de middelen in het venster Gegroepeerde middelen wilt zien, vinkt u de box Toon ongegroepeerde uit.
Tip: U kunt meerdere opeenvolgende middelen als volgt slepen:
- Klik op het eerste te slepen middel.
- Houd de Shift-toets ingedrukt.
- Klik op het laatste te slepen middel en sleep dan.
